Onsuite Technologies (“OnSuite”, “we”, “our”, or “us”) operates the OnSuite platform and its apps including OnClock, OnProject, and OnTax (collectively, the “Services”). This Privacy Policy explains how we collect, use, share, and protect your information when you use our Services.
1. Information We Collect
Account & Profile
Name, email address, phone number, and profile picture when you register or connect a third-party account (Google, GitHub, WhatsApp).
WhatsApp / Phone (OnClock)
When you sign in or register using WhatsApp OTP, we collect your phone number in E.164 format to authenticate your identity. We do not store WhatsApp message content.
Location (OnClock)
When you clock in or out, we collect your device's GPS coordinates to verify your location. Location is accessed only while the app is in use (foreground) and only at clock-in/out events — OnClock never tracks your location continuously or in the background.
Timesheet & Work Data
Clock-in/out timestamps, shift records, timesheets, and related workforce management data you or your employer enter into OnClock.
Project & Document Data
Files, documents, procurement records, budgets, and project data you upload or create in OnProject.
Usage Data
Pages visited, features used, device type, browser, IP address, and timestamps of interactions with our Services.
2. How We Use Your Information
- Provide, operate, and improve our Services
- Authenticate your identity via email, OAuth, or WhatsApp OTP
- Verify clock in/out location for workforce management
- Enable collaboration within your organisation
- Send transactional messages (invitations, OTP codes, account notifications)
- Analyse usage patterns to improve performance and features
- Comply with legal obligations
3. How We Share Your Information
We do not sell your personal data. We share information only as described below:
- Within your organisation: Admins and authorised members of your workspace can see member profiles, timesheets, and project data as permitted by their role.
- Service providers: Supabase (database & authentication), Vercel (hosting), DigitalOcean (backend infrastructure), Anthropic (AI features), Meta/WhatsApp (OTP delivery). These providers process data only on our behalf.
- Legal requirements: We may disclose data when required by law or to protect the rights and safety of our users.
4. Data Retention & Account Deletion
You can permanently delete your account at any time from within the app (Settings → Delete Account). When you do, your personal profile information (name, email address, phone number, and profile picture) is removed and your sign-in access is revoked immediately, so the account can no longer be used.
We retain your account data for as long as your account is active. Work records such as timesheets and clock-in/out history may be retained in de-identified form for your employer's legitimate record-keeping and to meet legal obligations. You may also request deletion by contacting us at privacy@onsuite.in.
5. Your Rights
Depending on your location, you may have the right to:
- Access the personal data we hold about you
- Correct inaccurate data
- Delete your account and personal data directly in the app (Settings → Delete Account), or request deletion by contacting us
- Disconnect linked accounts (Google, GitHub, WhatsApp) from your profile settings
- Object to or restrict certain processing

6. Security
We use industry-standard measures including TLS encryption in transit, encrypted storage, and access controls to protect your data. No system is completely secure; we encourage you to use a strong password and protect your account credentials.
7. Children's Privacy
Our Services are not directed to children under 13. We do not knowingly collect personal data from children under 13.
8. Changes to This Policy
We may update this Privacy Policy from time to time. We will notify you of material changes by posting the new policy on this page and updating the “Last updated” date.
